Terms and Conditions

Last updated: April 30, 2026. These terms are a practical operating guide for this hostel fee collection portal and should be reviewed with the institution's official policies before publication.

1. Purpose of the portal

This portal is provided to help students, wardens, and authorized hostel administrators manage hostel registration, room requests, mess cut requests, fee payments, payment records, student profiles, and related administrative activity.

The portal supports hostel administration workflows. It does not replace official university or hostel notices, fee circulars, refund rules, disciplinary rules, or other policies issued by the institution.

2. Eligibility and accounts

Student accounts may be created only by eligible students who provide accurate admission, contact, course, category, hostel, and room details. Warden and head warden accounts are issued or approved by authorized administration.

You are responsible for keeping your login credentials confidential and for all activity that occurs through your account. If you believe your account has been misused, inform the hostel administration promptly.

3. Accuracy of information

You must provide complete and accurate information when registering, updating your profile, submitting a room request, requesting mess cut approval, or making a payment.

The administration may verify, correct, reject, or request supporting information for records submitted through the portal.

4. Payments

Payments are processed through an external payment gateway. The portal may create payment orders, verify payment status, store transaction identifiers, and update room request or payment records after confirmation.

A displayed payment status may depend on confirmation from the payment gateway or bank. If money is debited but the portal does not show a successful payment, contact the hostel administration with the transaction details.

Refunds, cancellations, fee adjustments, and failed-payment handling are subject to the applicable institution, hostel, bank, and payment gateway rules.

5. Hostel requests and mess cuts

Room requests, hostel assignments, room numbers, mess cut requests, remarks, approvals, and rejections are administrative records. Submission through the portal does not guarantee approval.

Wardens and head wardens may review requests based on hostel capacity, eligibility, institutional rules, dates, payment status, and other relevant records.

6. Acceptable use

You must not attempt to access another user's account, bypass authorization controls, interfere with the service, submit false information, tamper with payment records, or use the portal for unlawful or unauthorized activity.

The administration may suspend access, correct records, preserve audit logs, or take other appropriate action if misuse is suspected.

7. Availability and changes

The portal may be unavailable during maintenance, infrastructure issues, payment gateway downtime, database outages, or other operational events.

Features, fees shown in the system, workflows, and these terms may be updated from time to time. Continued use of the portal after updates means you accept the updated terms.

8. Limitation of liability

The portal is provided for administrative convenience. To the maximum extent permitted by applicable law and institutional rules, the operators are not responsible for indirect loss, delayed bank settlement, third-party service outage, incorrect information submitted by users, or loss caused by unauthorized account access resulting from user negligence.

Nothing in these terms limits rights or obligations that cannot be limited under applicable law.
